EDTERRA’S TEMPORARY CORONA VIRUS CANCELLATION POLICY

 

Taking into account the possible impact of COVID-19 on any scheduled educational journey, we have
decided to offer our regular client schools an additional and temporary cancellation right to the original
contractual rights for cancellation where the School can prove that the cancellation is due to COVID-19.

A. CANCELLATION FOR DOMESTIC PROGRAMS

1. Cancellation: Up to 7 days prior to schedule departure

This temporary cancellation right implies that the school has the right to either postpone or terminate the
journey up to one (1) week before the check-In date, without any charge. Only the train ticket/flight ticket
/bus cancellation charge will be applicable as per the actual cancellation charged by the
airline/railways/bus service as per the proof provided by the booking agent/company.

2. Postponement of program

In case the school wishes to postpone a scheduled program as opposed to cancelling it, the School may
advise us on the revised travel dates, which ideally should fall within the same academic year. For this,
the School needs to make an email request (info@edterra.com). The proposed revised dates for the
program are subject to availability of the campsite/hotel as well as railway/flight tickets (if applicable). If
there is any difference in price for the campsite/hotel or train/air tickets for the revised dates, the same
shall be charged as per actuals.

Please Note: The train ticket/flight ticket cancellation charge will also be applicable, in case the
train/flight booking had been made for the cancelled program.

3. Cancellation: Up to 24 hours prior to scheduled departure

In case the School wishes to terminate the booking between 7 days to 1 day prior to the scheduled
departure time, the School needs to do so by directly calling the concerned EdTerra sales
representative and also by sending an email request (info@edterra.com). EdTerra on its own part will
not charge any cancellation fee towards its own efforts, however, deductions as per actuals for the
following heads (if required) will be made;
a. Hotel/camp booking (actual cancellation charged by them)
b. Train/flight/bus cancellation fee as charged by IRCTC/Airlines/Bus company
c. Any other cancellation fee (monument entry, road permit, scheduled workshop, etc.)
d. Applicable GST (if any)
While the cancellation will be charged as per actuals, the impact of the FOC will be borne by the paying
pax (student) on a pro-rata basis.

Please Note: It is important to understand that any cancellation request made just 24 hours prior to the
scheduled departure time may be tricky from the perspective of executing cancellation requests with the
concerned airline/IRCTC/bus company along with hotel/campsite. Any loss resulting from EdTerra not
being able to forward the cancellation request to the concerned airline/IRCTC/bus company or
hotel/campsite cannot be put entirely on EdTerra. On receipt of a cancellation request by email and/or
phone, EdTerra will do its best to initiate cancellation process within a reasonable time-frame. Kindly
note that the receipt of the cancellation request needs to be viewed from the perspective of working
hours of both EdTerra and the concerned vendors/agencies/institutions.

Amount Refund

Refund will be made within 15 days of receipt of advances made to the hotel/campsite and
airline/railway/bus companies.

Terms of Proof:

The right to cancel or postpone the journey, prior to its scheduled departure on account of COVID-19
only exists if the School’s decision is supported by the following events: 
• The classes at the school are either cancelled in full or have been changed to online-only for the
duration for which the travel was planned.

• The government  has issued any advisory that prevents people from travelling and therefore prevents
the school from undertaking travel, or, if the government has issued any guidelines due to which school
students are advised not to physically attend their classes.

Please Note: This additional and temporary cancellation right to cancel only exists in case a school is
able to adduce evidence of the above along with their cancellation request.

B. CANCELLATION FOR INTERNATIONAL PROGRAMS ON ACCOUNT OF
COVID-19

If a school cancels an international program in the event the Government imposes lockdown, or, ban on
international travel on account to Covid-19, in such a case;
A) EdTerra will reschedule travel on dates as suggested by the School provided they are
operationally possible, for which additional charges will apply.
B) EdTerra will refund the entire amount received as program fee, minus the non-refundable
portion of the enrolment fee along with the visa fee paid to the Embassy & VFS/BLS (if
applicable), applicable taxes (TCS and GST) plus ground and airline cancellation charges as
per actuals.

Note: All refunds will be made within 45 days of refund received or pass on the credit note if applicable
from the airlines and/ 1 or ground support agency.

Cancellation charges in the event visa is denied: Standard cancellation policy will be applicable.

Terms of Proof:

The right to cancel or postpone the journey, prior to its scheduled departure on account of COVID-19
only exists if the School’s decision is supported by the following events: 
• The government has imposed lockdown for the duration for which the travel was planned.
• The government  has issued an advisory that prevents people from travelling overseas during the
period and therefore the school is compelled to cancel the program.

Please Note: This additional and temporary cancellation right to cancel only exists in case a school is
able to adduce evidence of the above along with their cancellation request.
